Operations & digital hub · Prepared for C. London Travel, LLC
Every trip, PO and invoice. One place to run it.
Colin and Shonda, after our conversation about Busify and the email load, I took a close look at your setup. The operation is strong. Below is what I noticed, a few questions, and what we could build together.

A strong operation with gaps online
From your website, Facebook, Instagram and public federal records.
0
reportable crashes in the last 24 months
0%
out-of-service rate on inspections, against a 22% national average for vehicles
7
vehicles on file: 6 motorcoaches and 1 van, with 10 drivers
20+
years as a family-owned company
The business is strong
A Satisfactory federal rating, Maryland Motorcoach Association and American Bus Association membership, WMATC authority for the DC region, and a real fleet. The work needed is online, not in the operation.
Your federal operating authority shows as not active
The FMCSA record for MC-74696 lists it as not authorized for interstate for-hire trips (as of 28 Sep 2026), while your safety rating is Satisfactory. Planners and brokers check this record, and the website advertises trips across North America, so it's worth confirming with your insurance agent.
The "Book a Trip" button leads to an error page
It points to an old Busify booking link that no longer works, so visitors who click it hit an error page. Busify support can give the current link, and it's a quick swap.
The website hasn't been updated since early 2021
The pages, plugins and core software are several years behind, which is a security risk. The 2020 COVID page, which says masks are required at all times, is still live.
Your safety record isn't on the site
Churches and schools ask about safety first. The site only says "highest safety rating" and doesn't show the zero-crash record.
Your best photos and videos live only on social media
The coach, trip and group photos and videos Shonda has built up on Facebook and Instagram are great material. The website has no fleet page or gallery, and its testimonials use stock photos.
Contact details differ from place to place
Different phone numbers appear on the site and in directories. There are no office hours or map, and the Pinterest link points to a personal board.
Five quick questions
For Colin
- Which email address gets trip, PO and invoice mail? One shared inbox or several?
- Is Busify connected to QuickBooks Online, and who sends invoices today?
- Which fuel card do drivers use, and how are meals paid: company card, cash or per diem?
- Have you been able to confirm the FMCSA authority status with your insurance agent?
For Shonda
- Could you share your favorite coach, trip and group photos and videos for the website?

Turn trip email into trip files
Trip Inbox reads your trip mail, sorts it into one file per trip, and tells the office what's missing. Nothing goes out without your approval.

Works with what you already use
Busify stays for quoting, dispatch and payments. The hub fills in everything around it.
| System | How the hub works with it |
|---|---|
| Gmail (company email) | Read-only access to one label or shared inbox. Nothing is sent without the office approving it. |
| Busify | The website links into your Busify booking page. Busify has no public API, so trip data comes through its QuickBooks connection, its reports, or its notification emails. We'll also ask Busify about direct access. |
| QuickBooks Online | Receipts post as expenses with the photo attached. Invoices and payments are matched to each trip. |
| Fuel card + IFTA | Fuel purchases come from your card's transaction feed or from receipt photos. The hub prepares the quarterly IFTA numbers for you to file. |
| Facebook + Instagram | Shonda's photos and videos feed the website gallery and fleet pages, and new posts can go out to every channel at once. |
| FMCSA | A daily check of your operating authority, insurance filing and registration, with an alert if anything changes. |
Built for busy owners
Your data stays yours
Read-only access to your email. Everything stays in your own Google and QuickBooks accounts, and you can switch access off at any time.
You approve what goes out
Nothing is emailed to a customer or posted to QuickBooks without someone on your team approving it.
Working in 30 days
The first piece runs on your own emails within 30 days. You see it working before anything else gets built.
What happens next
What else do you need?
Add anything the menu doesn't cover: a report you want, a step that takes too long, a tool you'd like to replace. Your feature picks are sent with it.
